Duties and Responsibilities
- Act as the first point of contact for workshop clients: receive customers courteously, understand their concerns, and relay service needs to the technical team.
- Assist in capturing accurate customer complaints and vehicle/generator conditions during intake. Support the preparation of daily work schedules and job cards, and follow up on progress with technicians under the guidance of the Senior Technical Supervisor.
- Help verify the quality and completeness of diagnoses and repairs before handing over serviced equipment to customers.
- Maintain proper and up-to-date records of all workshop operations, including work orders, service reports, and spare parts usage.
- Assist in tracking spare parts consumption and highlighting any discrepancies or frequent part usage trends.
- Support in conducting post-service quality checks and gathering client feedback to improve service delivery.
- Maintain digital and physical filing systems for workshop documentation to ensure easy access and reference.
- Monitor and flag any concerns related to service delays, customer complaints, or deviations from quality standards to the Senior Technical Supervisor.
- Promote and enforce adherence to workshop safety procedures, cleanliness, and orderly workspace standards.
- Participate in the collection and compilation of weekly and monthly workshop activity data for reporting purposes.
- Assist in preparing simple reports and summaries to support decision-making and improve service efficiency.
- Perform any other duties as assigned by the Senior Technical Supervisor or Workshop Officer.
Qualifications and Competencies
Minimum Qualifications:
- Diploma or certificate in Automotive Engineering, Automotive Technology, or a related technical field.
At least 2 years of relevant experience in a workshop, service center, or mechanical maintenance environment. - Experience in customer service or service reception in an automotive setting is an added advantage.
Technical and Functional Competencies:
- Basic understanding of vehicle/generator systems and maintenance processes.
- Good knowledge of job card processing, spare parts documentation, and service record keeping.
- Strong organizational skills and attention to detail.
- Ability to compile service reports and track workshop data effectively.
- Working knowledge of MS Office (Word, Excel) and basic computer proficiency.
- Strong interpersonal and communication skills; ability to work well in a team.
- Commitment to safety, quality, and customer service standards.
