Job Description

Medecins Sans Frontieres (MSF), based in Guricel, is looking for an experienced PHARMACY SUPERVISOR to fill an open position. The ideal candidate will have 3 - 4 years of professional experience in the Health/wash field. Submit your application by Sep, 18 to be considered for this role.

Length of contract: Fixed term (1year) 100% with 3 to 6 months’ probation period.

Main Purpose

Ensuring general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with

MSF standards, protocols and procedures, in order to ensure its efficiency and operating availability.

Accountabilities

  • Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and

protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good

storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according

to MSF protocols, national regulations and in cooperation with the logistics department.

  • Coordinating the delivery, reception and recording of international and local orders, in close coordination with the

logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry

dates), in order to permanently ensure security stock levels and ensure efficient management of stock.

  • Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern

under budget constraints.

  • Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns

and keeping conditions in order to ensure their therapeutic progression

  • Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks, and using

cold chain when needed. Monitoring and analysing orders of depending pharmacies in order to avoid ruptures of stock

or having expired drugs.

  • Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance

evaluation, development and internal/external communication) of the pharmaceutical team and the nursing staff, in

order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.

  • Assisting in training of nursing staff regarding dispensing of drugs and their side effects

MSF Section/Context Specific Accountabilities

Among specific responsibilities, the Pharmacy Supervisor's duties include:

Operational Oversight

 Manage the day-to-day functions of the pharmacy, including efficient workflow and a high standard of patient care.

 Managing of Narcotic drugs and record keeping.

Staff Management

 Supervise, train, and evaluate pharmacy personnel (drugs dispenser), conduct performance reviews, and coordinate

staff schedules.

 Training of staff to tally consumption sheet.

 Conducting trainings of staff on pharmacy related topics according to guideline and needs.

Prescription Management

 Oversee the accurate and efficient processing of prescriptions,

 In close collaboration with deputy MAM, follow up on rational use of drugs and do regular Rational Prescription

analysis.

 Contributing in Antimicrobial stewardship committee with consumption figures and consumption control.

 Focal point up on Pharmacovigilance reports from medical teams at the project.

EXTERNAL VACANCY

 Following up on open vial policy. Laisse with deputy MAM to improve quality of dispensing.

Inventory and Supply

 Oversee the purchasing, organization, and security of all drug products and medical supplies.

 Actively participate in preparing international medical orders.

 Conduct monthly consumption data tool (CDT) analysis, for over and under consumed items.

 Attending and contributing in medical-supply meeting.

 Following up on Expire Before Consumption (EBC), overstocks and on ruptures.

 Ensuring daily/weekly/monthly stock cards update and stock analysis.

 Contribute in the monthly total stock review (TSR) analysis by updating consumption data and supporting the project

medical team with feedback to facilitate decision-making.

 Conduct monthly central pharmacy inventory and share it with MTL and mission pharma.

 Preparing monthly medical order from warehouse to central pharmacy.

 Prepare the pharmacy's monthly activity report.

 Ensuring 24 hours medicine supply according to the need and proper record keeping.

Good Storage Practices & Quality Assurance

 Ensure good storage conditions (temperature, humidity, and light exposure), including for cold chain items.

 Share monthly LogTag reports with Mission Pharma.

 Act as the focal point for Mission Pharma at the project level for quality complaints and reporting.

Behavior

 Promoting and maintaining confidentiality regarding all patient’s information and strict compliance with code of conduct.

 Demonstrating flexibility to assume other responsibilities and additional tasks over normal working hours and

according to the needs of the project.

Qualifications & Requirements

Education Essential, Bachelor degree of pharmacy management or medical profile.

Experience Essential: At least 3 years’ experience with NGOs as a pharmacy supervision. Desirable: at least

1 year relevant experience with MSF

Languag English language essential, Somalia language desirable.

Knowledge Essential, Proficient in MS (word, excel and internet)
