Length of contract: Fixed term (1year) 100% with 3 to 6 months’ probation period.
Main Purpose
Carrying out medical data collection and entry activities into the mission database recording all relevant clinical and
demographic data on patients and ensuring data quality/reliability, according to MSF proto-cols and maintaining
confidentiality while producing the appropriate, updated documents for the medical team in order to support decision
making processes
Accountabilities
- Performing data entry of all epidemiological information into select databases program and creating appropriate reports,
providing data for project development purposes.
- Ensuring that all data entered has been authorized and that appropriate documentation has been received (patient records,
treatment monitoring, etc.). Ensuring that all data entry processes occur in a timely and efficient manner.
- Ensuring all data collected and entered to databases is consistently accurate and complete. Being responsible for
ensuring that quality control queries of the database are followed up, ensuring identification of data entry errors and
corrections. Immediately reporting to the supervisor, any anomalies in the database
- Filing documents according to MSF standards
- Communicating regularly with the HCW’s, assisting in the (re)training when necessary, on proper registration of
patients, proper filling of the various forms, clarifying queries, obtaining missing information and correcting errors,
ensuring they have ongoing sufficient supplies of necessary hardcopy data collection forms
- Assisting in the compilation and preparation of regular reports and providing detailed information to medical and
laboratory teams (weekly, monthly, according to patient treatment requirements)..
MSF Section/Context Specific Accountabilities
Among specific responsibilities, the Medical Data Processing Officer's duties include:
Performing data entry of all epidemiological information into DHIS2.
Ensuring that all data entered are authorized and appropriate documentation has been received (patient records, treatment
monitoring, etc.).
Ensuring the registration book(s) are accurate, complete and reliable for reference at all times.
Ensuring medical team have the adequate update version of data collection tools.
Ensuring that all data entry processes occurs in a timely and efficient manner.
Ensuring all patients have a unique ID before registration. No duplicates can be found in the database (DHIS2).
Ensuring that there is neither missing nor invalid data in the medical database DHIS2.
Ensuring proper and secure patients’ file storage and completeness for easy access.
Looking after all equipment provided and keep recording area clean and tidy, giving special importance to all patient files.
Reporting any issue concerning data management to the line manager/supervisor or deputy MAM promptly.
Elaborating statistical reports when required by the medical team and supervisor.
Ensuring, promote and maintain confidentiality regarding all information registered and keeping data safe and filed
appropriately.
Collecting data of any occurring outbreak (measles, cholera, diphteria, meningitis, Kala Azar, etc.).
In conjunction with EPI supervisor and NTS, tracking all missing data and encode them.
EXTERNAL VACANCY
In conjunction with the supervisor, ensuring data quality is checked on daily basis, weekly and monthly for better reporting.
Prioritizing the data according to the instructions given by the data supervisor.
Ensuring that all data entry processes occur in a timely and efficient manner.
Ensuring all data coversheets and weekly tally sheets collected are consistently accurate and complete before recording into
the DHIS2 database and if not, inform the supervisor.
Ensures updating, correcting all the missing data, and removing the duplicate data after you receive the data cleaning report
from the data supervisor.
Weekly updating registers for admission for all departments.
Back up all data files regularly to avoid loss of data.
File both soft and hard copies for institutional memory.
Support any new protocol, procedures, or system implementation introduced by MSF or approved by MSF.
Following MSF policies and guidelines at all times, strict compliance with code of conduct.
Demonstrating flexibility to do additional tasks over normal working hours and according to the needs of the
project.
