Position Overview: The Department Manager is at the heart of Airbel Impact Lab’s administrative excellence. In this role, you will coordinate procurement, contracts, payments, and logistics, ensuring they are delivered flawlessly and on time. You will also be a key partner to our senior leadership, leading all aspects of schedules, coordinating meetings, supporting travel, and encouraging collaboration across our dynamic distributed team. Key Responsibilities: Procurement, Operations, and Logistics Lead the procurement process, acting as the main point of contact with Global Supply Chain and Accounts Payable. Initiate and track Purchase Requisitions and Purchase Orders; ensure timely and accurate contract administration. Coordinate contract reviews, vendor setup, and procurement documentation. Monitor payments to vendors and consultants, quickly resolving delays or issues. Maintain and update procurement templates, tools, and mentorship; serve as the go-to resource for procurement processes. Manage IRC’s roster of short-term consultants and service providers. Manage the Department Credit Card, including expense reconciliation and travel card issuance. Provide high-level executive support to the Chief Research & Innovation Officer (CRIO), managing calendars, coordinating schedules, arranging travel, and preparing for meetings, which includes the creation and distribution of briefing materials, agendas, and follow-up documentation. Assist the Airbel Advisory Board Chair with planning and executing board meetings, including scheduling, logistics, and related coordination to ensure efficient operations and stakeholder engagement Coordinate departmental meetings, conferences, learning sessions, and project share-outs. Respond to inquiries from staff, ensuring timely communication and issue resolution. People Operations Coordinate onboarding for new hires, including paperwork, equipment orders, and orientation scheduling. Support staff transitions and departures. Develop initiatives that strengthen an inclusive, collaborative, and high-performance culture. Finance and Grants Administration Be the first point of contact for team questions about INTEGRA, IRC’s ERP system. Process and track payments, reimbursements, and expenses in INTEGRA. Review expenditures for accuracy, follow up on discrepancies, and keep financial and grant tracking tools up to date. Job Requirements: 3–4 years of professional experience, preferably with an international NGO or global organization. Proven ability to balance multiple priorities in a fast-paced environment. Experience supporting senior leaders with scheduling, communications, and administrative tasks. Strong interest in research and innovation in the humanitarian sector. Flexible, proactive, and solutions-focused approach. Strong interpersonal skills, with the ability to collaborate well across diverse groups and time zones. Dedication to excellent customer service and timely problem-solving. Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint).
