Overview of Position The position of the Medical Logistics Assistant is located in the Medical Services Section & is based in Mogadishu. The Medical Logistics Assistant will report directly to the Head of Integrated Medical Office. Role Objectives Within delegated authority, the Medical Logistics Assistant will be responsible for the following duties: Assists in planning medical asset management operations, monitors progress through statistical analysis of database records & monthly progress reports for the unit / section. Supports the oversight of ongoing operations by conducting regular site visits to field offices & performing physical inspections & verifications of UN property. Maintains accurate & auditable records of UN property in both hard & electronic formats, ensuring compliance with administrative instructions, LDS / DFS guidelines & mission property management standard operating procedures. Assist in coordinating with relevant mission units to ensure timely delivery of supplies & conducts preliminary inspections of items received for quality & quantity, in collaboration with the receiving & inspection unit. Monitors the UMOJA inventory management database to identify discrepancies through discrepancy reports & ensure they are addressed promptly. Identifies & recommends assets for write off due to damage, obsolescence or surplus, in accordance with established procedures. Assists in preparing accurate & auditable statistical reports for management & drafts relevant correspondence as needed. Supports the Chief of the Unit / Section in developing & drafting Standard Operating Procedures (SOPs), flow charts & other documentation related to all aspects of UN asset management activities. Identifies issues within asset management processes & recommends appropriate solutions to address problematic areas. Ensures accurate tracking of assets, oversees the implementation of periodic physical verification processes & monitors their execution. Perform other duties as requested by the supervisor. Project reporting The Medical Logistics Assistant will report directly to the Head of Integrated Medical Office. Key competencies Required qualifications for this roles: High school diploma or equivalent along with training in logistics, supply chain management, inventory & assets management or another relevant field is desirable. A minimum of eight (8) years of progressively responsible experience in the field of logistics or other related fields practical work. Experience in logistics support to military units & knowledge of tracking & updating inventory records. Working experience in Somalia is an added advantage. Fluency in English (both oral & written) is required. Required competencies for this role: Knowledge of the organization’s rules & regulations as they pertain to supply, purchasing & logistics. Demonstrated use of initiative & ability to make appropriate linkages in work requirements & anticipate next steps.
